THE SHORES OF JUPITERHOMEOWNERS ASSOCIATIONBOARD OF DIRECTORS MEETING- MINUTESTHURSDAY –APRIL 1, 2004 – 7:00 pmLocation: Bristol Management’s OfficeIt was determination a quorum was present. Board members in attendance were Emily O’ Mahoney, Bill Thompson, Thor Evensen, Dr David Thomas, David Ward and Chuck Piver. Beth Goin was present representing Bristol Management.The meeting was called to order at 7:10 pm, by President Emily O’Mahoney. Minutes A motion was made by Dr. David to accept the minutes of the March 4, 2004 Board meeting as presented. Chuck seconded the motion. The motion carried. Financials Chuck gave the February 2004 financial report. The Association is in solid financial position. Chuck will be transferring money this month. Twelve homes were turned over to the attorney for collection. Lots 156, 160 are in foreclosure. Thor made a motion, Bill seconded the motion and the motion carried to accept the financial report. Committee Reports ARB : There were 16 requests this month. The homeowner from 18891 Black Gum would like the Board to review the condition of approval about installing a tree to replace the tree they are removing. Emily will review the property. Landscaping: Lakes/Parks: The bass are in good shape. The Trail needs some additional mulch. The metal picnic table needs to be replaced. Ann will research another piece of playground equipment. Crime Watch: Dr David talked to Dick and discussed the approach to this committee. He will pursue getting an article into the next newsletter. Communication/Newsletter: A feature article will be written about the crossing guard for the newsletter. The Jupiter Police Department is having a program on May 4, 2004. A block party should be organized to be held at the Tot Lot with the Police and Fire Department. The next newsletter deadline is April 16, 2004. A letter needs to be produced by the Cable Company about what is going on and what the schedule is. This article will be run in the June newsletter. The Cable Company also needs to be notified about ruts and things being left open. We need to use a contact for the baby sitting list to be distributed to interested owners so that children’s names and phone numbers are not being list. Management Company Report: The Egg hunt is on April 10, 2004 Board members should attend. The trail will be sprayed for ants. Dave made a motion to Order 2000 car sticker for each homeowner to receive two for their vehicles, in the next assessment mailing. Dr David seconded the motion and the motion carried. We are doing touch up paint on the areas where the paint chipped during pressure cleaning. A list needs to be compiled of mailbox’s that don’t have mailbox light and or don’t have functioning lights. Old BusinessProxy Count – Currently we have 230 Yes, 43 General, and 62 No. Special Members Meeting 4-8-04- The Board will attend next Thursdays meeting. Lighting Inspection – Proposal: There was a mistake made in the presentation of eight lights. He did install the additional lighting, and would like consideration for this error. Bill made a motion to make the lighting improvements as proposed for 12,000.00, Dave seconded the motion and the motion carried. Bill made a motion that Emily discusses with the vendor the shortfall that was quoted in the last contract and the Board will pick up 2,500.00 of this error. Dr Dave seconded the motion the motion carried with one Board member opposed. Other: Bank signature cards need to be executed. New Business:Welcome Committee: The Board is not clear about the value of the welcome committee and is tabling the committee until a program can be developed and approved. News Letter Distribution: Bristol has not given the mailing labels for Cypress Cove or Northfork to Seabreeze publications. Chuck made a motion to continue delivering the paper to both communities. Dr Dave seconded the motion, the motion carried. The basketball hoop that has been permanently placed in the right away was discussed. Due to the hoop being a permanent fixture in the right away the Board can not do anything about this. Emily will write a letter to the homeowner that is concerned about the Association spending money for the amendment. Emily will also write a letter about the Nor Fork Pine. Dr Dave discussed a group that is in the Shores trying to get tree trimming work by driving around and soliciting homeowners. A second homeowner has lollypop their trees. A homeowner on Winding Lake is not properly pruning their trees. Canary Island Date Palm cut down, Winding Lake. Bills box will remind people that issues needing Board attention need to be communicated through Bristol Management so that it can be added to the agenda. The yard of the month needs to be determined. Please give any suggestion to Dave. With no further business before the Board of Directors the meeting was adjourned at 9:20 pm.
